Handling of a Client’s Personal Information

7. Entrusting personal information

SMBC consigns the handling of personal information as follows to the extent necessary to accomplish the purpose of use. In addition, SMBC conducts necessary and proper oversight of the entity to which the personal information is entrusted.

  1. (1)Administrative duties related to the sending of statements
  2. (2)Duties related to overseas transactions, including foreign exchange transactions
  3. (3)Duties concerning the sending of direct mail
  4. (4)Duties pertaining to the operation and maintenance of information systems

8. Joint use of personal information

  1. (1)Joint use of information on bounced checks/notes
    SMBC jointly uses personal information in accordance with Article 23-5-3 of the Act on the Protection of Personal Information as stated below.
    Note that SMBC shall announce details of revisions on joint use in advance.
    1. 1Personal information that is jointly used
      Name of the drawer (for corporations, the name, name of representative, and title of the representative) and its trade name if applies, and address (for corporations, location of the corporation, including zip code); name of individual making request for overdraft transaction (for corporations, the name, name of representative, and title of the representative; trade name if applies); date of birth; occupation; capital (only where drawer is a corporation); type and face value of the note/check; date of exchange (date of presentation); paying bank (including department and branch name); receiving bank (including department and branch name); reason for check/note bounced; date of suspension of transaction with the respective bank; clearing house in which the paying bank (branch) of the bounced check/note participates, and the bankers association to which the clearing house belongs.
    2. 2Scope of joint usage
      Local clearing houses, financial institutions participating in local clearing houses, Japan Bankers Personal Credit Information Center which was established and operated by the Japanese Bankers Association, and each local bankers' association that is a special member of the JBA (including the transaction suspension reference centers of each local bankers' association) (For list of joint users, visit JBA site (https://www.zenginkyo.or.jp/abstract/clearing/))
    3. 3 Purpose of joint usage
      Ensure smooth circulation of checks/notes and assessment by financial institutions of own credit transactions
    4. 4Name of entity responsible for managing personal information
      Name of the bankers association to which the clearing house that the paying bank of the bounced check/note is a member.
  2. (2)Joint use by SMBC Group
    SMBC jointly uses personal information in accordance with Article 23-5-3 of the Act on the Protection of Personal Information to strengthen cooperation with companies of SMBC Group to provide various value-added products and services, and to enhance business and risk management for the overall group.
  3. Note that joint usage is limited to the necessary extent and carried out under a set platform so as to not unfairly hurt the interests of its clients. Aside from the Act to Protect Personal Information, SMBC also handles the joint use of personal information in accordance with other laws, including the Financial Instruments and Exchange Law, should they stipulate restrictions on joint usage.

      • a.Information on attributes (client and family information including address, name, date of birth, workplace, occupation, title, telephone number and other contact information)
      • b.Financial information (including income, expenses, assets, and liabilities)
      • c.cInformation on transactions (including types of financial products and services, transaction amounts, contract dates, and transaction needs)
      • d.Information essential to managing transactions (including number of branch where transaction was conducted, account number and other numbers used for management, transaction records, sequence of events, financing, and other information used to render decisions)
    2. 2Scope of joint usage
      The Sumitomo Mitsui Financial Group, and the consolidated subsidiaries and equity-method affiliates listed in its securities filings that have already made disclose in accordance with Article 27-5-3 of the Act on the Protection of Personal Information.
    3. 3Purpose of joint usage
      • a.Planning and development of various financial products and services that meet client needs and individual recommendations and notifications to clients of these various financial products and services*1 *2
        • *1Including analyzing information such as customer transaction history and website browsing history to deliver advertisements related to products and services that meet the client needs
        • *2Including the planning and development of various products and services that meet the needs of other clients and the use as statistical information for recommendations and notifications
      • b.Individual recommendations and notifications to clients of related products and services in the marketing field and other areas, including advertising, of partnership companies affiliated with SMBC Group (Including analyzing information such as customer transaction history and website browsing history to deliver advertisements related to related products and services that meet the client needs)
      • c.Proper execution as a group of business and risk management, including grasping and controlling various risks
